School Secretary
Are you an efficient, people-oriented person who likes to perform a variety of duties and stay busy? You may be the person we are looking for. Montessori School of Waukesha is seeking the right candidate for our School Secretary position, which is crucial to the smooth running of day-to-day functions of our 370 student, toddler - 8th grade school.
This is a year-round position that is contracted for 236 days. In this position you will be responsible for ensuring clear, consistent communication and coordination with parents, faculty, staff, and administration.
The School Secretary will be the point of initial contact with each of these groups. This position will often work with confidential information and will be expected to sign a Confidentiality - Non-Closure Agreement.
Our school primarily follows the School District of Waukesha calendar. You will be required to work one or two days during school-year breaks such as winter break and spring break as well as during the summer to provide administrative support for MSOW Summer Program.
Hours: Monday - Friday, 8 hours per day, with a flexible start time between 7:30 am and 8:30 am.
SKILLS & KNOWLEDGE
● Ability to integrate excellent verbal and written communication skills, problem solving, as well as the organization and prioritization of numerous projects daily.
● Demonstrated capacity to carry out daily duties assertively yet respectfully in harmony with children, parents, faculty and staff.
● Intermediate to Advanced computer skills in Microsoft Office Suite with emphasis in Excel, Word, and Google Suite.
● Computer literacy with the ability to work with computerized systems and databases, with the ability to generate reports and forms, and create school communication such as flyers, notifications, news feeds, and announcements.
● Willingness to be trained on the school’s student information system.
● Ability to maintain focus and meet deadlines even when interruptions occur.
● Ability to prioritize tasks.
RESPONSIBILITIES
● Provide clerical and administrative support to the leadership team and teaching staff such as typing, proofreading, editing, and processing daily mail as directed.
● Ensure that the school functions are consistently organized every day.
● Act as liaison between the community, the school, and other internal and external stakeholders as directed.
● Assist with maintaining student records.
● Assist with tracking attendance and absences and generate reports for internal and external use.
● Process vendor invoices, check printing, customer/family invoicing, and bank deposits.
● Perform general office duties such as answering telephone and email inquiries, and filing.
● Maintain the integrity of information systems, databases, and office files
● Coordinate and maintain the school calendar. Both internal and external.
● Create forms and online payments for field trips, before and after care, tuition, and other forms as needed
● Support fundraising/special events as directed and complete special projects as assigned. Some school events will be “all hands-on deck” occasions and will require members of the administrative/staff group to help out and seek assistance.
● Coordinate Picture Day (and retake day) and Back to School Day set up.
● Coordinate communication alerts and notifications such as snow days.
● Coordinate simple changes to the school website.
● Coordinate the school newsletter and publish it on the school website and send it via email.
● Other General Duties as assigned by the Accounting/HR Director, Director of Faculty and Staff, Director of Students, or Head of School.
